Nestwärme
The Problem
A childcare provider that families couldn't trust and a team drowning in manual work.
Nestwärme's website was outdated and missing the information parents actually need when choosing childcare: daily routines, pricing, staff qualifications, and safety policies. What was there was hard to find, and registering a child meant downloading a PDF, printing it, filling it out by hand, scanning it, and sending it by email with no confirmation on the other end.
For parents making one of the most important decisions of their lives, that experience felt cold and unreliable. Behind the scenes, staff were spending hours on manual processes that had no structure, no automation, and no feedback loop.
Both problems had the same root cause: a lack of clarity and structure at every step — for families and for the internal team managing it.
Key Decisions
The choices that shaped the outcome.
-
01
Stepped Registration Flow
Instead of one long form, the registration was broken into three focused steps: service selection, essential details, and consent. Each step has a single purpose. Tested with 10 users before launch, the drop-off rate dropped significantly and feedback was consistently positive.
-
02
Automated Outcome Emails
Every application outcome — accepted, waitlisted, or declined — triggers a clear, warm automated email. No family is left without an answer. Waitlisted families can also request data deletion directly from that email, keeping everything GDPR-compliant.
-
03
Live Capacity Dashboard
Swiss law uses a weighted capacity system — each child counts differently based on age and needs. A real-time dashboard was designed to calculate this automatically as staff review applications, replacing a manual spreadsheet process that was prone to error.
-
04
Service Clarity
Kita and Tagesfamilie — two distinct services — were competing for attention on the same pages. The site architecture was restructured to give each service its own clear space, helping parents understand which option suits their family before they even start registration.
-
05
Self-Sufficient Admin Tools
The team now manages job listings, employee profiles, and the full registration pipeline without any developer support — because internal users deserve good design too.
The Solution
A trustworthy, clear, and human experience for families and for the team behind it.
The redesigned Nestwärme website gives parents the information they need to make a confident decision — daily routines, pricing, staff qualifications, and safety policies — structured and easy to find. The registration process is now a clean three-step digital flow, with real-time feedback at every stage and a clear confirmation at the end.
On the back end, the internal team has a live capacity dashboard that handles Swiss-weighted capacity calculations automatically, a full registration pipeline they manage independently, and admin tools for job listings and employee profiles — all designed with the same care as the parent-facing product.
What Happened
The results spoke before the project was even fully rolled out.
Google Business Profile interactions grew by 860% in the first two months — from 91 to 876 — as families who hadn't been able to find Nestwärme before started discovering them through search.
The internal team now runs three systems independently, with zero developer involvement. The capacity calculations that once took hours of manual work now happen automatically on every new application.
